FastFoods Store Systems Analyst Report


REPORT OF MEETING WITH MR. AND MRS. OWNER AND THE WAITRESS

The FastFood Store is a restaurant established 10 years ago by Mr. and Mrs. Owner that provides quick meals at lunch and dinner times. Recently business has boomed. Mr. Owner is the chef, Mrs Owner the bookkeeper and waitress and one other employee helps with food preparation and waitressing. An accountant takes care of maintaining the general ledger and producing financial reports.

The waitress takes orders from the customers along with cash or credit card payment. She places one copy of the order on the stake beside the till and the cash in the till. The other copy of the order is placed on a clipboard at the entrance to the kitchen.

Mr. Owner takes the order, prepares the food and places the food and the order at the entrance to the kitchen. The waitress delivers the food and order (receipt) to the customer.

Each night Mrs. Owner removes the copies of the customer orders which have been placed on a stake by the waitress and takes the cash and a daily summary sheet from the till. She then makes the entries in the books of orders taken, cash taken, till shortage and GST received before storing the cash in the vault. Each morning Mrs. Owner takes the cash to the bank. A bank statement is supplied each month.

Each evening Mr. Owner tours the fridge and pantry and writes out a list of supplies that are needed. He passes this list on to Mrs. Owner. Mrs. Owner prepares the purchase orders to various vendors and posts them off the next day.

Any supplies which are delivered are unloaded by Mr. Owner. He checks off the supplies against the packing slip which he passes on to Mrs. Owner. She stores the slip away until an invoice arrives. No payments to vendors are made without an invoice. In general once the invoice arrives and is checked off against the packing slip, Mrs. Owner writes out a cheque and posts it off to the vendor. Occasionally this system fails and a monthly statement is received from a vendor. Mrs. Owner then checks out the situation and payment is made if required.

The waitress fills out a time sheet each day and fortnightly hands this to Mrs. Owner. Mrs. Owner calculates the appropriate wage and on her visit to the bank the next day has a bank cheque made out to the waitress.

Each month Mrs. Owner takes the books to the accountant who, in time, provides Mr. Owner with a balance sheet and profit and loss statement. Every 3 months the accountant also calculates the PAYG tax and GST and fills in the Business Activity statement (BAS) to be sent to the Tax Office with the payment. The accountant also prepares A group certificate is presented to the waitress by Mrs. Owner at the end of each financial year.
